If you use Google Drive for your document storage, you can connect folders to Dronedesk. This is a loose integration, meaning you’ll be able to display Google Drive folders within Dronedesk, but you won’t be able to upload or save files directly to Google Drive from within the platform.
To get started, go to the top right menu, click “Settings,” then go to “Integrations” and select “Google Drive.”
You can set Google Drive folders at three levels in Dronedesk:
Business Level Ideal for general company documentation such as insurance, authorisations, and policies.
Project Level Suitable for documents related to a specific project.
Job Level Used for the most granular documents that are specific to individual jobs.
Go into your Google Drive and locate the folder you want to link.
Right click on the folder and select “Share.”
Ensure the sharing setting is set to “Anyone with the link can view.”
Copy the link.
In Dronedesk, paste the link into the appropriate folder input field (business, project, or job level).
Clean up the URL: Remove everything after and including the question mark so you're left with only the Google Drive folder ID.
Click “Test Access.”
A window should pop up showing the contents of the folder.
If you see a 404 error or the folder doesn't display, double check the sharing permissions and ensure you’ve correctly trimmed the URL to include only the folder ID.
Once you've set up the business level folder:
Go to a project, click “Manage Project,” then “Edit.”
In the Google Drive field, paste the folder ID for your project level folder (again, trimming the URL as needed).
Save the changes.
Now, repeat the same steps for job level folders:
Go to a job within that project, click “Edit Job.”
Share the relevant Google Drive folder, copy and trim the link, and paste the folder ID into the appropriate field.
Save the job.
Once configured:
The job page will display all relevant folders:
Business level documents
Project level documents
Job specific documents
Clicking on any of these folders will open the corresponding folder in Google Drive. A link is also provided to take you directly to your Google Drive root folder if needed.
This setup allows you to seamlessly reference documentation from within Dronedesk while keeping everything organised in your existing Google Drive structure.
